Managing Completeness


Concept

In this topic, you will see how to Manage Completeness statuses.


Steps:

  1. Each Transaction has a Completeness tab. 

     

    In this example, click the Honey Bee Farms link.

  2. To access Completeness, click the Completeness menu item.

  3. Click the Why do this ? link.

  4. Selecting the Why do this? link provides a pop up window that will provide guidance as to the importance of the Completeness sections.

     

    An example is shown for demonstration purposes only.

  5. An icon reflects the status of each section:

     

    Exclamation - represents not all criteria for this section has been met and the information is not complete within the Transaction.

     

    Checkmark - represents all criteria for this section has been met and the information is contained within the Transaction.

  6. Information within the Transaction that must be complete to mark Key Fields as complete:

     

    For Agency: Account Number, Property State, File Number and Est. Total Liability

     

    For Directs:  Office BUID, Property State, File Number and Est. Total Liability

  7. The Description link navigates to the location within the Transaction that the information resides.

     

    In this example, click the Key Fields link.

  8. For demonstration purposes, the Key Fields will be completed for this Direct Transaction.

     

    i.e. Office BUID, Property State, File Number and Est. Total Liability

     

    Est. Total Liability key field displays on the Transaction line.  If the information is missing, the edit transaction icon allows for entry of the information.

  9. Click the Office Type list.

  10. Click Direct from the list.

  11. The criteria for Office BUID is now complete.

     

    i.e. Office BUID, Property State, File Number and Est. Total Liability

  12. The File # displays the system file number, which completes the File Number criteria.

     

    i.e. Office BUID, Property State, File Number and Est. Total Liability

  13. The last criteria to meet for Completeness is the Property State.

     

    Click the Add Property icon.

  15. In this example, click CO from the list.

    i.e. Office BUID, Property State, File Number and Est. Total Liability

  20. Since all criteria has now been met for the Key Fields section, the status icon reflects complete.

  21. The Source File Verification checks to ensure that the File/Order(s) on the Transaction are verified with a Source system (AgentNet or FAST).

     

    NOTE:  If the file is not an AgentNet or FAST file, then the file cannot be Verified.

  22. To navigation to the File # location, click the Source File Verification link.

  23. As shown, the File # displays the System File # and has not been verified.

     

    To add a file, click in the Source field.

  26. To remove the entry, click the X in the File # field.

  29. When the file has been Verified with the Source, the File # displays Verified.

    NOTE: Files that have not been Verified or the Source is None in File Details within the File/Order section will not display as Complete.

  32. In the next example, a Transaction that reflects Decisioning and Supporting Documents will be viewed.

     

    Click the Home icon.

  36. Decisioning and Supporting Documents indicated both have a status of Complete.

     

    Decisioning - this section completes when a FINAL decision has been made on the Transaction.

     

    Supporting Documents - this section completes when the Document requirement for designated Risks (i.e. Bankruptcy) have been uploaded and assigned to the Risk.

    The Approve entry in this screen is the event that marked Decisioning as Complete.  Only Final Decisioning entries are Completeness events.
